Under the general supervision of the program Medical Director and practice office lead, performs diversified and confidential secretarial duties as well as coordination of physician schedules to include facilitation of outside educational, research and vendor-based engagements. Acts as a liaison between the service and referring providers. Assists in the development of the programs in accordance with the National Standards for Centers of Excellence. Requires an intermediate/high degree of technical and communications/interpersonal skills, knowledge and ability. May administer/coordinate programs, projects, and/or processes as assigned.
Duties and Responsibilities:
The following are essential job accountabilities:
1 Assists with the creation of the program/physicians’ master schedules. The master schedule includes entity schedules (YH Cath Lab/noninvasive or YH OR, YH Inpatient Consult, Practice).
2 Proactively reviews physician schedule to identify gaps and needed realignment of resources to ensure access and appropriate physician utilization.
3 Serves as gatekeeper for patient access to the program.
4 Often provides the initial contact with the outside referred patients.
5 Assists with consistent communication with patient and family.
6 Maintains two way communication with providers’ offices in order to improve the process of coordinating care.
7 Communicates regularly with YH procedural staff liaison to ensure fluidity of patient and provider schedules.
8 Schedules physician administrative appointments; maintains and updates daily calendars.
9 Schedules, coordinates and/or arranges meetings, appointments and/or facilities. Attends meetings and records minutes, as required.
10 Collects information needed by program/physicians for conferences and reports.
11 Assists with physician credentialing for the organization and Hospital as needed.
12 Compiles data for and prepares regularly scheduled or special reports, analyses and statements.
13 Enters and/or retrieves data from established computer files using knowledge of various computer software applications.
14 Administers/coordinates programs, projects, and/or processes as assigned.
